How to set up team email alerts

Get emailed when environments or sites change or backup storage fills up, and choose which alerts you receive.

Overview

Team email alerts let you know when something important changes in your team, without having to check the dashboard. You can be notified when an environment or site is created or deleted, or when an environment's backup storage is nearly full. This is especially useful for teams with several people making changes, or for owners who want visibility over what happens across their environments.

Email alerts are controlled at two levels, and both must be on for an email to be sent. The team owner turns email alerts on or off for the whole team. Each recipient then chooses whether they personally receive alerts, and which types. Alerts are only sent to the team owner, Super Admins, and Administrators.

In this article, you will find what triggers an alert, who receives them, how backup storage alerts work, and step-by-step instructions for turning on alerts for your team, choosing your own alerts, and managing alerts for other members.

What triggers an alert

Alerts are grouped into three categories. Recipients can choose which categories they want to receive.

Category

Sends an email when

Environment

An environment is created or deleted

Site

A site is created or deleted

General

An environment's backup storage reaches 95% of its limit

Each recipient receives one email per event.

Who receives email alerts

Email alerts are sent to the team members with full access to the team:

  • Team owner: Receives alerts, turns alerts on or off for the whole team, and can change any recipient's alert settings

  • Super Admins and Administrators: Receive alerts and choose their own alert settings

  • Billing Managers, Members, and Guests: Do not receive team email alerts

By default, every recipient receives all three categories once alerts are turned on for the team. Each recipient can then turn off the categories they do not need, or turn their alerts off completely.

The Email alerts column on the Team page shows whether each recipient currently has alerts On or Off.

Note: If someone becomes a recipient while alerts are already on for the team, for example by accepting an invite as an Administrator or being promoted to Super Admin, they receive a welcome email confirming they will now receive alerts.

Backup storage alerts

Levamo checks each environment's backup storage once a day. When an environment's backup storage reaches 95% of its limit, recipients with the General category turned on receive an email titled "Backup storage is full". The alert also appears in your dashboard notifications.

To avoid repeated emails, the alert is sent once each time storage fills up, not every day:

  • While usage stays at or above 95%, the dashboard notification stays in place, but no further emails are sent

  • Once usage drops back below 95%, the alert clears

  • If storage fills up again later, a new email is sent

When backup storage is full, new backups may not be able to run, so it is worth acting on this alert promptly by either reducing storage usage or purchasing add-on storage.

Tip:

To free up space, remove backups you no longer need. See Creating and managing backups for instructions.

How to set up email alerts

Turn on email alerts for your team

Only the team owner can turn email alerts on or off for the team. Alerts are off by default.

Step 1: Open Team settings

Log in to your Levamo dashboard, click Team in the top navigation menu, then click Team settings.

Step 2: Turn on email alerts

In the Email alert notifications section, turn on Send email alerts for this team.

Step 3: Save your changes

Click Save changes in the Email alert notifications section. The section updates to show that email alerts are on for the team.

Once alerts are on, each recipient receives an email titled "Email alerts are now on" confirming which alerts they will receive.

To stop all alert emails for the team, follow the same steps, turn the setting off, and save. No alert emails are sent while the team setting is off, regardless of each member's own choices.

Choose which alerts you receive

The team owner, Super Admins, and Administrators can each choose their own alerts. Your choices only affect your own alerts.

Step 1: Open your member menu

On the Team page, find your own row in the team list and click the ⋯ menu.

Step 2: Select Email alerts

Click Email alerts to open Your email alerts.

Step 3: Choose your alerts and save

Turn Send me this team's email alerts on or off. If it is on, select the categories you want to receive:

  • Environment: When an environment is created or deleted

  • Site: When a site is created or deleted

  • General: General alerts about this team, such as backup storage being nearly full

Click Save changes.

Change another member's alerts

The team owner can change the alert settings of any Super Admin or Administrator, for example to turn off alerts for someone who does not need them. Super Admins and Administrators can only change their own.

Step 1: Open the member's menu

On the Team page, find the team member and click the ⋯ menu on their row.

Step 2: Select Email alerts

Click Email alerts to open the alert settings for that member.

Step 3: Make your changes and save

Turn Send [member name] this team's email alerts on or off, select the categories they should receive, and click Save changes.

Important information

  • Email alerts must be turned on for the team by the owner, and on for the individual recipient, for an email to be sent

  • Only the team owner can turn alerts on or off for the team, or change another member's alert settings. This cannot be delegated, including to Super Admins

  • Billing Managers, Members, and Guests do not receive team email alerts. To give someone alerts, they need the Administrator or Super Admin role. See Team roles and permissions

  • Alerts are sent to the email address on each recipient's Levamo user account

  • Changes to email alert settings are recorded in the team activity log

FAQ

I'm not receiving any alert emails. What should I check?

Work through the following:

  1. Your role: Only the team owner, Super Admins, and Administrators receive alerts

  2. The team setting: If the team owner has not turned on email alerts in Team settings, no alerts are sent to anyone

  3. Your own setting: Open Email alerts from the ⋯ menu on your own row and make sure Send me this team's email alerts is on

  4. The category: Make sure the category for the event (Environment, Site, or General) is selected

  5. Your inbox: Check your spam or junk folder, and confirm the email address on your Levamo user account is correct

Other team members get alerts but I don't. Why?

Each recipient's settings are independent. Check that your own alerts and the relevant category are turned on, as described above.

Why did I only get one email about backup storage?

This is expected. The backup storage alert is sent once each time storage fills up. You will receive another email only if usage drops below 95% and then reaches it again.

Can a Super Admin turn on email alerts for the team?

No. Only the team owner can turn email alerts on or off for the team, or change another member's alert settings. Super Admins can choose their own alerts once the owner has turned them on.

Can I get alerts for other events, such as plan changes or sign-ins?

Not by email at this time. Email alerts currently cover environments and sites being created or deleted, and backup storage. For a full record of changes in your team, including sign-ins, role changes, and plan changes, use the team activity log.

Conclusion

Team email alerts keep the people responsible for your team informed about important changes as they happen. Once the team owner turns them on, each recipient can choose exactly which alerts reach their inbox.
